VoilaJob (“VoilaJob”, “we”, “us”) is business software for contractors: leads, clients, estimates, invoices, scheduling, crew time and job costs, with AI assistance. This policy explains what we collect, why, and the choices you have. It applies to voilajob.com and the VoilaJob app.
Who this covers
Customers are contracting businesses that sign up for VoilaJob and the people they invite (office staff, project managers, crew). End clients are homeowners and businesses whose details a customer enters or who view an estimate, invoice or client portal link sent by a customer. For end-client data, the customer decides what is collected and is responsible for it; we process it on the customer’s behalf.
What we collect
- Account details — name, email, phone, company name, password (stored hashed), role and permissions.
- Business data you put in — clients and leads (names, phones, emails, addresses, notes), estimates, invoices, payments, schedules, job files and photos, receipts, crew members, time entries and pay rates.
- Crew app data — clock-in and clock-out times, the job, an optional profile photo, and location at clock-in/out and while a crew member is on the clock with the app open. Location is not collected when they are off the clock.
- Connected services — when a customer connects Google (Gmail, Calendar), QuickBooks Online or other tools, we receive the data needed for the feature they turned on (for example, receipts found in email, calendar events, or QuickBooks customers, invoices, payments and expenses). Access tokens are encrypted at rest.
- End-client actions — when someone opens or signs an estimate: their typed name, drawn signature, the time and IP address.
- Technical data — a session cookie that keeps you signed in, and standard server logs (IP address, browser, pages, errors) used for security and troubleshooting. We do not use advertising cookies or sell data to advertisers.
How we use it
- To run the service you asked for: store your records, send documents you choose to send, show schedules, timesheets, profit and reports.
- To provide AI features (writing estimates, answering questions about your business, reading receipts, drafting replies). The relevant data is sent to our AI provider to produce the answer. It is not used to train public AI models.
- To sync with services you connect (for example, creating customers, invoices, payments and expenses in your QuickBooks Online company, or reading which invoices were paid).
- To keep the service secure, prevent abuse, fix problems and provide support.
- To bill your subscription and tell you about important changes.
We never send messages to your clients on our own. Texts, emails and documents go out only when you or your team send them.
QuickBooks Online
If you connect QuickBooks Online, VoilaJob accesses your QuickBooks company only with your permission and only for the accounting sync you turned on. We store the connection tokens encrypted, use the data only to provide the sync inside VoilaJob, do not sell or share it, and stop accessing it when you disconnect — from VoilaJob Settings or from inside QuickBooks. You can ask us to delete synced data at any time.
Who we share data with
Only with service providers that help us run VoilaJob, under contracts that limit their use of the data: cloud hosting and database (Vercel, Supabase), AI processing (Anthropic), email and messaging delivery, payments processing, and the third-party services you choose to connect (such as Google or Intuit QuickBooks). We may disclose data if required by law or to protect rights and safety. If VoilaJob is sold or merged, data would transfer under this policy. We do not sell personal information.
How long we keep it
We keep your data while your account is active. Crew location history is kept for 60 days. When you close your account, we delete or anonymize your data within 90 days, except what we must keep for legal, tax or security reasons.
Security
Data is encrypted in transit (HTTPS) and connection tokens are encrypted at rest. Each company’s data is kept separate, and team members only see what their role allows. No system is perfectly secure; if we learn of a breach that affects you, we will tell you promptly.
Your choices and rights
- See, correct, export or delete your data — in the app or by emailing us.
- Disconnect any connected service at any time.
- Crew members can stop location sharing by staying off the clock or closing the app; ask your employer about their policy.
- End clients can ask the contractor who sent the document, or us, to correct or delete their information.
Depending on where you live (for example California or Washington), you may have additional rights to know, delete or correct personal information. We honor these requests and do not discriminate against anyone for using them.
Children
VoilaJob is a business tool and is not directed to children under 16. We do not knowingly collect their data.
Changes
If we make important changes, we will update this page and notify account owners.
